How it works

  • What is Kostap Menu?

    Kostap Menu is a multilingual QR menu system for restaurants, cafés and bars serving international customers. It automatically translates your menu into 10 languages and adds a synchronised dual-language ordering layer between the customer and the staff.

    The customer sees the menu in their language, the waiter sees the same item in Greek (or the restaurant's base language) — both sides understand exactly what's being ordered.

  • How does the dual-language ordering layer work?

    It's the system that sits between the customer and the staff at the moment of ordering. Each menu item is structured as one shared reference that appears in multiple languages simultaneously.

    The customer sees the menu in their language. The staff sees the same item in the restaurant's base language at the same time. When the customer selects an item, the waiter doesn't interpret a translation — they see the right item in their own language, instantly.

  • Does the customer need to download an app?

    No. The customer simply scans the QR code with their phone's camera and the menu opens in their browser. No app, no signup, no credit card.

  • How fast does the menu load?

    Almost instantly, even on weak signal. We deliberately chose not to use food photos in the menu — on Greek islands the signal is unreliable and image-heavy menus load slowly. Rich descriptions load instantly and translate cleanly into all languages.

  • Does it work without internet?

    The customer needs an internet connection to load the menu (like any web page). We recommend that restaurants offer free Wi-Fi to their customers — most ask for it anyway. The staff side needs connection too.

  • Is in-app ordering available?

    It's currently in development and will be released to all active subscribers at no extra cost. It will be assisted ordering, not self-checkout: the customer composes their order in their language, the waiter comes to the table and confirms it in Greek.

    No payment will be taken in-app — protecting human conversation and tipping culture.

Pricing & Payments

  • How much does Kostap Menu cost?

    On your first payment you receive 350 starter credits as a welcome gift — one-time, never expires.

  • How do credits work?

    Credits pay for the AI cost of generating and translating menu content. The subscription pays for live hosting, full feature access, and continuous updates. They are two separate things.

    On first payment you get 350 starter credits as a welcome gift. If you need more later, you can buy 200 additional credits for €20, anytime. Credits never expire — buy once, use whenever.

  • Which payment methods do you accept?

    We accept all major credit and debit cards — Visa, Mastercard, American Express, Maestro. Payments are processed securely through a third-party payment provider.

  • Do you provide invoices for restaurant expenses?

    Yes. For every payment — subscription, top-up, or custom setup — you automatically receive an official VAT invoice in PDF, compliant with Greek tax law. All your invoices are archived and available in your account.

  • Can I switch from monthly to yearly?

    Yes, anytime from your dashboard. The change takes effect at your next billing cycle. Your credits stay in your account.

  • Will I have to pay extra for new features?

    No. Every new feature that ships is included for active subscribers at no extra cost. As long as your subscription is active, you always have the latest version of Kostap Menu.

Free trial

  • What's included in the free trial?

    The free trial includes 30 credits and 30 days of full access to all Pro features. No credit card required, no commitment. You can build a real menu and test it with real customers before deciding whether to upgrade.

  • Do I need a credit card to start?

    No. Sign up for the free trial with either Google or email — no credit card, no automatic charge after expiration. If you decide not to continue, simply don't subscribe — no charge will be made.

  • What happens when the trial ends?

    When your trial ends (either because you used all 30 credits or 30 days passed), you can no longer edit or translate your menu. Your menu stays saved in case you upgrade later — no need to rebuild from scratch.

  • Can I buy extra credits during the trial?

    No. Top-up credits (€20 for 200) are only available to active paid subscribers. The trial is designed for evaluation — if you want to continue, upgrade to Pro and immediately receive 350 starter credits as a welcome gift.

QR Code & Printing

  • Will my QR change if I update prices?

    No. The QR code is stable and never changes. Prices, items, descriptions, and languages can all be updated, and the same printed QR code continues to work.

    Additionally, the QR code cannot be deleted by anyone — not even by you. This is a deliberate architectural decision that protects your investment in printed materials.

  • Can I print the QR at any size I want?

    Yes. The QR code is available in high resolution (PNG and SVG) and can be printed at any size — from small stickers to large posters — without losing quality. We recommend a minimum print size of 2x2 cm for reliable scanning.

  • Can I export the menu as PDF for printing?

    Yes. Kostap Menu offers print-ready export in PDF and SVG, in any of the 10 supported languages. The file preserves all categories, sub-pricing, and descriptions — ready to send to a print shop.

  • Do you provide printed QR codes or table stands?

    No, we don't provide physical materials. We give you the QR code in high-quality digital format and you print it at your local print shop — where you can make table stands, stickers, cards, or whatever fits your restaurant.

Translation & Languages

  • Which languages does it translate to?

    Into 10 languages: Greek, English, French, German, Italian, Spanish, Turkish, Russian, Polish, and Dutch.

    Any of these can be the base language of your restaurant — you write the menu once and AI translates it into the other 9.

  • What if I don't like an automatic translation?

    You can edit any translation manually. If, for example, you want to replace the translation of "bougatsa" with a specific phrase you prefer, just edit it from the dashboard. Your change is preserved and won't be overwritten by future AI translations.

  • Can I set German (or another language) as my base?

    Yes. The platform is fully bidirectional. A German restaurant in Munich can set German as the base, and AI translates into the other 9 — including Greek. The same goes for each of the 10 supported languages.

  • Does the AI know Greek dishes like moussaka, saganaki etc?

    Yes. The translation engine is optimised specifically for Greek hospitality vocabulary. It's been tested in real Greek tavernas and recognises traditional dishes, wine varieties (Mavrodaphne, Xinomavro, Moschofilero), and local expressions. Where translation is needed, it translates; where it's a name (like "moussaka"), it preserves it.

Menu Management

  • How do I add or change menu items?

    From your dashboard, in a few clicks. You add a new item, write the description and price in your base language, and AI translates it into the other 9. The change is live in seconds — the next customer to scan sees the updated menu.

  • How many administrators can I add?

    You can add multiple administrators with no limit, each with their own credentials. It solves a real operational problem: you no longer have to share your password with the bar manager, the chef, or seasonal staff.

    When someone leaves, you simply remove their access without changing your own password.

  • What can and cannot an administrator do?

    Can: add, remove and edit items, rearrange categories, update prices and descriptions, and run translations.

    Cannot: delete the account or the restaurant's QR code. This is protected at the system level and is a deliberate architectural decision.

  • Can I manage multiple restaurants from one account?

    For multi-restaurant or chain setups, we offer a tailored solution. Contact us at support@kostapmenu.gr to discuss the best configuration for your business.

Security & Account

  • How is my account protected?

    All connections are encrypted (HTTPS), passwords are stored with secure hashing, and you get a notification every time a login happens from a new device or location. We also recommend using administrator roles to avoid sharing your own password.

  • What if I forget my password?

    Click "Forgot password" on the login page. You'll receive an email with a link to set a new password. The link is valid for 1 hour for security reasons.

  • Is my data secure?

    Yes. We comply with GDPR, your data is stored on EU servers, and we don't share it with third parties. You always own your menu content and can request export or deletion at any time.

  • Can I delete my account?

    Yes. You can request account deletion at any time by emailing support@kostapmenu.gr. Note: your QR code and menu remain recognisable to the system to maintain the immutable-QR principle — but your access and personal data are deleted in compliance with GDPR.

Custom setup

  • What is the €99 custom setup?

    It's a one-time service where we build your entire digital menu. You send us your current menu (PDF, photos, or text), your logo, and any preferences — and we have it ready in 24–48 hours.

  • What do you need from me to get started?
    • Your current menu (PDF, photos, or text)
    • Your restaurant logo (if any)
    • Your brand colours (if you have specific ones)
    • The base language of the restaurant
    • Any special instructions (e.g. allergens, seasonal items)
  • Does custom setup require a subscription?

    Yes. The €99 custom setup can only be combined with an active Pro subscription (monthly or yearly). It cannot be purchased alone or with a free account. This ensures that the professionally-built menu stays live for your customers.

Cancellation & Refunds

  • How do I cancel my subscription?

    You can cancel your subscription anytime from your dashboard — no penalties, no questions asked. Your access remains active until the end of the current billing period.

  • What happens to my menu after cancellation?

    Your menu is not deleted. It enters blurred mode: it stays at the same QR code (which never changes), but appears blurred to customers with a notice to contact the restaurant.

    Your unused credits remain saved in your account. When you reactivate your subscription, everything comes back to life exactly as it was.

  • Do you offer refunds?

    We offer a 30-day free trial with no credit card precisely so you can decide before paying. For cases of technical issues or exceptional circumstances, email us at support@kostapmenu.gr — we review every case individually and fairly.

  • Can I reactivate my subscription later?

    Yes, anytime. One click reactivates the subscription, the menu exits blurred mode, and your saved credits are available again. The same QR code continues to work — any printed materials you have remain valid.
